Major Function:
Provide leadership and supervision for the Admissions Office in relation to Operations. Participate in overseeing admission of students to the university based on state and faculty established administrative criteria; serve as non-voting member of the Admissions Committee; work with the Assistant Vice President for Enrollment in the planning, implementation and evaluation of services to students; understand and implement all NCAA rules that relate to admissions.
Provide leadership and supervision for the Admissions office in relation to Student Recruitment. This person works closely with the Assistant Vice President for Enrollment Management in the recruitment of prospective and quality students; assists with creating a comprehensive enrollment management and recruitment plan to meet recruitment goals.
Provide leadership and supervision for the Admissions Office in relation to Marketing and Technology. Work closely with the Director of Marketing in Enrollment Management, to assist in developing strategies, campaigns, measurements, and decision making structures for enrollment marketing; Provide leadership and guidance in the development of technology initiatives that ensure business processes follow policies that are efficient, accurate and responsive, and include planning and assessment components.
This position reports to the Assistant Vice President for Enrollment Management.
Provide leadership and supervision for the Admissions office in relation to operations by: 40% E
Working closely with Associate Director of Admissions to ensure timely operational and technical support for the recruitment and programming divisions;
Ensuring compliance with visa and immigration procedures;
Collaborating with interpreting institutional, state, and federal regulations as they relate to admissions procedures;
Understanding FERPA regulations for managing student admissions records;
Acting as a liaison with colleges, departments, and regional centers;
Receiving input from Admissions Committee concerning admission criteria;
Working with State Board of Education in the maintenance and development of admission criteria;
Providing a professional application form to be used in the admission of students;
Working with auditors involved in the annual university audit;
Acting as the main contact for audits and program reviews at the state, regional and national levels in Admissions;
Reviewing office policies and procedures on a continuous basis to ensure efficiency and to ensure that resources are being applied appropriately
Maintaining policies and procedures that meet regulations of federal and state government in the Admissions Office;
Providing UI offices and personnel information on admissions programs;
Keeping current and implementing NCAA rules related to admissions;
Providing training and professional development opportunities for staff;
Overseeing personnel issues including hiring, promoting, and evaluating staff;
Providing admissions data analysis and ensuring university-wide enrollment initiatives are met; recommending strategies/plans to increase admissions based upon analysis
Providing data analysis to university personnel in Admissions;
Promoting the exposure of the University of Idaho by participating in professional activities and programs;
Working with other colleges and universities within Idaho to establish state policies and to promote higher education
Working with the Assistant Vice President for Enrollment Management in establishing annual budgets;
Managing the budget effectively and predicting future events or needs that will have budgetary impact;
Reviewing budget reports on regular basis to ensure effective planning and problem-solving.
Supervising personnel to ensure effective communication of goals, objectives and departmental priorities and to ensure effective delivery of services and programs
Hiring new personnel; Reviewing job descriptions on a regular basis to maintain currency and to ensure that workload distribution remains consistent and efficient
Providing training and professional development opportunities for staff; Overseeing mid-year and annual performance reviews for all staff
Holding regular staff meetings to ensure consistent and high-quality communication, planning, and problem-solving
Provide leadership & supervision in relation to student recruitment by: 35% E
Working closely with the Assistant Vice President for Enrollment Management to develop enrollment management strategies and to create a comprehensive enrollment management and recruitment plan to meet recruitment goals;
Analyzing effectiveness of admissions/recruitment strategies and adjusting as necessary to meet enrollment goals;
Providing leadership and responsibility for the recruitment of quality students and prospective students;
Providing coordination and collaboration with academic colleges and departments;
Assuring effective communications with university colleges and departments;
Establishing and maintaining recruiting activities with other university offices and departments;
Developing mechanisms for disseminating information concerning enrollment management and recruiting activities throughout the university;
Developing and maintaining all necessary recruiting materials and publications to support the recruitment effort;
Providing overall leadership and responsibility for the recruitment of prospective and quality students.
Provide leadership and direction for marketing and technology by: 20% E
Working closely with Enrollment Management’s Director of Marketing to develop, schedule and monitor workflow campaigns in the Customer Relationship Management (CRM) system.
Supporting marketing efforts and promote campaign opportunities for Admissions
Providing training sessions to staff for consistent messaging across campus.
Understanding Banner automated computer systems used in the department
Managing state-of-the art technology to provide excellent service to students, faculty, staff and maintain accuracy and efficiency of data; managing Banner effectively; working effectively with other groups on campus to implement state-of-the-art systems
Participate and contribute as a member of Enrollment Management Leadership team by: 5% M
Participating in meetings, committees, and special projects as appropriate;
Supporting institutional, divisional, and departmental objectives;
Participating in other duties as assigned;
MINIMUM QUALIFICATIONS:
Bachelor’s degree and five (5) years experience in a leadership position in Admissions and/or recruiting/enrollment management.
Good knowledge and understanding of new student recruitment and admissions operations, as well as a student centered/customer service oriented philosophy is essential;
Significant experience in leadership and supervision of professional staff; excellent personnel management skills and ability to provide proactive leadership;
Experience and understanding information produced for publications and promoting functions or events.
Ability to develop and implement strategic initiatives; ability to work in a fast-paced environment; experience with automated systems and automation in the workplace; the ability to communicate effectively, both in writing and orally; proven ability to network, promote, and form collaborative partnerships; proven ability to work well as part of a team; ability to work well with student, faculty, and administrators; some knowledge of federal financial aid regulations.
ADDITIONAL DESIRABLE QUALIFICATIONS:
Master’s or doctoral degree;
At least three years of leadership or supervisory/managerial experience
Experience at a large institution
Knowledge of SCT Banner System
Experience with Customer Relationship Management (CRM) systems and management within the system
Experience in presentations to large groups
Ability to communicate with a variety of constituents
